External project manager keeps the organisation up to the mark
When you are in charge of the process yourself, it is easier to put things off. That is why TDC Hosting chose to let Medieministeriet be project manager on the completion of their new website.

For a lot of companies it can be difficult to find the time to prioritise the internal projects and tasks. At the start of a new project there is time and enthusiasm, but as time goes by the internal communication projects are often pushed into the future as other important projects gain priority.

At TDC Hosting they took the consequences of this and handed over the project management of the company’s new website to an external partner to ensure that there was constant focus on the project.

“It is a deliberate strategy on our end to hand out the tasks we know we’ll have a hard time completing on time ourselves. We hand out the task to someone who is good at that sort of thing, and then we can spend our time on the things we’re good at. And we chose Trine from Medieministeriet because she is already in charge of the production and project management of our newsletter”, says Jens Vester, Alliance Manager at TDC Hosting and responsible for the new website.

New tasks push plans
After an initial hand-over meeting Trine therefore took over the responsibility for driving the website project and for making a production plan that was realistic – and would be followed.

“If we’re in charge of the process ourselves, it’s easier to put things off. But when there is a plan and we’re obligated to follow it, then we get things done. Because if we don’t Trine, will call us and make sure we do”, says Jens Vester, smiling.

Clear work distribution and phase structure
The process was divided into a series of phases, and the missing tasks were defined and distributed. During the project a series of meetings were held, where for instance texts and layout were looked through in plenum to ensure quality and unanimity in the editorial group.

“The plan gave us an overview of what we needed to do, and when there were tasks we didn’t have time to do ourselves, Trine could take over quickly”, Jens Vester points out.

In this way Medieministeriet has been in charge of a series of texts and cases as well as an introduction to search engine optimisation and a setup for internal user tests.
